01What we run
For tour operators and travel agencies selling Panama seat by seat. A tested circuit on fixed dates, coach and bilingual guide, hotels named in the quote, NET rates per person.
Reward programs of three to five days built around a signature moment: ships rising through the locks, a private evening in Casco Antiguo, a day on the islands. Gala dinners and exclusive-use venues sourced to the group.
Hotel meeting space, off-site sessions and team activities, with transfers timed to the agenda and a program that makes room for the country around it.
Private dinners, rooftop receptions, milestone celebrations and product launches, staged in the historic quarter or by the water.
02Leisure groups
A departure sold seat by seat needs a ground program that holds the same on every date. We build it once with the operator and run it identically each time: the same hotels, the same guide standard, the same timings at the Canal and in Casco Antiguo.
Travelers arrive on different flights and meet for the first time in the hotel lobby. From that first evening, the group moves as one: a single coach, a single guide, a program everyone has in hand.
Circuits run from fifteen travelers upward, with the minimum for each departure agreed with the operator in the quote.
03Sample circuit · 4 days
The short circuit: every movement by road, the longest about forty-five minutes. It works on its own or as the Panama leg of a multi-country tour.

04Sample circuit · 7 days
Two oceans, a colonial quarter, the rainforest and a crater valley, all by road. The Caribbean forts at Portobelo sit an hour and a half from the capital; El Valle de Antón about two.

Extensions: two nights in San Blas, the Pearl Islands, Bocas del Toro or Pedasí and Isla Iguana. Domestic flights for groups are held early, at the time of the quote.
05Sample circuit · 12 days
The whole country for a group: the capital, the Caribbean, the crater valley of El Valle, the Chiriquí highlands and the islands of the Gulf. One domestic flight each way, every other movement by road.

06What a circuit includes
Arrival and departure Meet-and-greet at Tocumen for every flight on the manifest, and transfers timed to each departure.
Hotels Four- and five-star properties in Panama City and along the route, named in the quote, chosen for the operator's price point.
Coach and driver A vehicle sized to the group and its luggage, from vetted operators, for the whole circuit.
Bilingual guide The same guide from the first briefing to the last transfer, in English and Spanish.
Entrance fees and meals Every entrance on the program, and meals as specified day by day.
Coordination A coordinator on call throughout the stay, reachable by the guide and the tour leader.
07What the operator receives
NET rates Per person in double and in single, with the validity dates and the minimum group size stated.
Tour leader and free places Quoted on request, according to the group size and the program.
Option and release dates When hotel space is held and when it releases, agreed before the first seat is sold.
Catalog copy Day-by-day descriptions in English and Spanish, ready for the operator's brochure or website.
Pre-departure pack Rooming list and manifest templates, vouchers and the emergency contacts for the tour leader.
Final reconciliation One account per departure, reconciled against the final manifest.
08Why Panama
Tocumen is the hub of Copa Airlines and connects directly with North America, Latin America and Europe. The currency is the US dollar and the clock stays on UTC−5 all year, which keeps planning simple for North American groups.
Within forty minutes of the hotel district sit the Panama Canal, a colonial quarter on the UNESCO World Heritage list and a protected rainforest at Gamboa. A full program fits in three days with every movement by road.
Add a night on the Pearl Islands or in the Chiriquí highlands, and the incentive earns its name.
09Incentives, meetings and events
Brief Company, dates, headcount, program type and objectives. A costed proposal follows, with options where they help the decision.
Site inspection A pre-trip visit for the organizer, hosted by our director, to walk the hotels, venues and routes before contracting.
Arrivals Flight manifests tracked arrival by arrival, staggered transfers from Tocumen, a welcome desk at the hotel.
On program A dedicated coordination team on site, a daily run-of-show shared with the organizer, and a contingency plan written before day one.
Vehicles Executive vehicles, Sprinter vans and coaches from vetted operators, sized to the group and its luggage.
Wrap-up One consolidated account, reconciled against the final manifest.
10Our operating standard
VIARE Panama operates under its own tour operator license, ATP 989-AV, and holds the bond Panamanian law requires of licensed operators.
Every supplier on a group program is contracted by us and answers to us: one standard from the airport to the gala dinner.
